Answer an upset customer from your notes and send the reply from Gmail

A customer wants to know where the order is. Type what happened the way you’d text it, and TachlisAI writes a calm, clear reply. Change anything with a follow-up, then send it from your Gmail once it reads right.

From a quick note to a reply you’d send

The shop, its customers and the replies below were written for this guide. Chaya sells embroidered challah covers, a broken machine has held up an order, and an unhappy email is waiting. Chaya pastes the email into TachlisAI and types what happened, the way you’d text a friend.

Illustrative example A late order, answered and then revised

The customer’s email

I ordered three challah covers on the 2nd and was told five business days. It’s been nine. Where is my order? I need them for Shabbos.

What Chaya typed

reply to this. mrs klein, order 4127. embroidery machine was down most of last week, fixed now. ships tomorrow ups ground, tracking email when it leaves. ground takes 2-3 business days there so it may miss shabbos, say that straight. refunding the $8.95 shipping, nothing else. warm, short. sign Chaya, Shabbos Stitches

The reply

Dear Mrs. Klein,

I’m sorry your challah covers are late. Our embroidery machine was out of service for most of last week. It’s working again, and your order (4127) ships tomorrow by UPS Ground. You’ll get a tracking email as soon as it leaves.

Ground usually takes two to three business days to your area, so it may not arrive before Shabbos. I’d rather tell you now than have you wonder on Friday. We’re refunding your $8.95 shipping charge.

Thank you for your patience,

Chaya, Shabbos Stitches

Chaya’s follow-up

mrs klein is in monsey like us. offer to drop it off thursday night instead of shipping, if that’s easier. shorter too

The revised reply

Dear Mrs. Klein,

I’m sorry your challah covers are late. Our embroidery machine was down for most of last week, and it’s working again.

Your order (4127) can ship tomorrow by UPS Ground, which may not reach you before Shabbos. Since you’re in Monsey too, I can drop it off Thursday night instead. Reply to let me know which you’d prefer. Either way, we’re refunding your $8.95 shipping charge.

Thank you for your patience,

Chaya, Shabbos Stitches

Because the order number, the refund and the tone are already in the chat, the follow-up can be one line. The second reply is shorter, and the drop-off offer in it came from Chaya.

Send it from your Gmail without copying it anywhere

With Google connected, you can finish in the chat. Give TachlisAI the customer’s email address and ask it to send the reply. It prepares a Send email card showing the recipient, your Google address, the subject and the message. Nothing goes out until you press Confirm, and Cancel drops it. Read the card once the way the customer will, since it goes out under your name.

To set it up, sign in to your TachlisAI account, open Settings, choose Google Workspace under Integrations and press Connect Google Workspace. TachlisAI sends email you’ve reviewed and never asks to read or search your Gmail inbox, so paste the customer’s message into the chat yourself. You can disconnect from the same screen.

The next late order starts from this one

A broken machine usually holds up more than one order. In the same chat, write: “Same news for Mrs. Weiss, order 4129, and Mr. Gross, order 4131. Mr. Gross needs it for a bar mitzvah on the 18th, so offer pickup on Wednesday.” Review and send each reply the same way.

Weeks later, Search chats finds the conversation by a word you remember, such as the order number or “embroidery,” so the next reply starts from one you already approved.

Follow-ups worth keeping
When you needType in the same chat
A version short enough to read on a phone“Three sentences. Same facts.”
A firmer answer to a second complaint“Polite and firm. Repeat the ship date and the refund, and offer nothing new.”
Something to paste into a text message“Same message as a short text, without the greeting or sign-off.”
